Vale Gymnastics – Terms and Conditions of Membership

1. Membership and Registration
- By registering your child for classes at Vale Gymnastics, you agree to these Terms and Conditions.
- Membership is confirmed once payment of the registration fee and the first month’s tuition has been received.
- All gymnasts must be registered with Welsh Gymnastics for insurance purposes before attending their second class (excluding those attending parent toddler lessons).
- Places are subject to availability and are allocated on a first-come, first-served basis.
2. Fees and Payments
- Class fees are charged on a monthly recurring basis via Stripe through our booking system, Classforkids, on the 1st of each month.
- Fees are calculated based on the total number of lessons per year (42) and divided into 12 equal monthly payments..
- Fees are payable in advance and are non-refundable, including where sessions are missed due to illness, holidays, or other personal reasons.
- A 30-day written notice period is required to cancel your child’s place.
- Late or failed payments may result in your child’s suspension from classes until the balance is cleared.
- Any changes to fees will be communicated with at least one month’s notice.
3. Refunds and Cancellations
- Refunds are only issued if the Club cancels a class or programme and no suitable alternative can be offered.
- In the event of a government lockdown, adverse weather, or circumstances beyond our control, classes may move online or be rescheduled; no automatic refunds apply.
- If your child is injured and unable to attend for 4 weeks or more, please contact us — credits or pauses may be considered at the Club’s discretion with a valid medical note.
4. Class Attendance and Behaviour
- Parents must ensure their child arrives and leaves promptly for all sessions.
- Gymnasts should wear appropriate sports clothing and remove jewellery before training. Long hair should be tied back.
- The Club reserves the right to refuse entry or terminate membership if a child or parent’s behaviour is deemed unsafe, disrespectful, or disruptive.
- Parents are responsible for ensuring that any medical conditions or learning needs are declared during registration and kept up to date.
5. Health, Safety and Welfare
- The safety of all gymnasts is our highest priority.
- All coaching staff hold current DBS checks, safeguarding qualifications, and appropriate coaching awards.
- Parents must not enter the gym floor unless invited by a coach or are attending a parent toddler lesson.
- In the event of an accident or emergency, basic first aid may be administered by trained staff and emergency services called if necessary.
- The Club is not responsible for loss or damage to personal property.
6. Photography and Media
- During classes or events, photographs or videos may be taken for coaching, promotional, or social media purposes.
- There is a photo permissions section of the registration form where you can opt in or out of giving photo permission.
- No photography or filming by parents is permitted during sessions unless approved by the Head Coach.
7. Communication
- The Club communicates primarily via email, social media (Facebook and Instagram) or by phone.
- It is the parent’s responsibility to ensure contact details remain up to date.
- By registering, you consent to receive relevant communications about your child’s participation and club updates.
8. Data Protection
- Vale Gymnastics complies with the UK General Data Protection Regulation (GDPR).
- Personal data is collected only for legitimate purposes such as class management, safety, and communication.
- Data will not be shared with third parties except for essential operational partners (e.g. Welsh Gymnastics, payment processors).

9. Club Holidays and Closures
- The Club operates on a continuous term system but lessons stop for two weeks at Christmas, two weeks at Easter and six weeks over the summer holidays. Notice of any closures will be given in advance via email or our website.
- Fees are averaged across the year and are not reduced for scheduled closures.
10. Limitation of Liability
- Participation in gymnastics carries a degree of risk. While all reasonable care is taken, Vale Gymnastics cannot accept responsibility for injuries that occur through normal participation.
- Parents acknowledge that gymnastics is a physical sport and that they accept these inherent risks on behalf of their child.
11. Participation and Liability Waiver
Gymnastics is a physically demanding and active sport that carries an inherent risk of injury. While Vale Gymnastics and its coaches take every reasonable precaution to ensure a safe training environment, accidents and injuries can occur as a normal part of participation.
By registering your child (or participating yourself in parent/child or adult sessions), you acknowledge and agree to the following:
Assumption of Risk
- You understand that participation in gymnastics activities involves movement, physical exertion, and use of apparatus which may result in falls, strains, sprains, bumps, or other minor injuries.
- Serious injury, though rare, can also occur, including but not limited to fractures or concussions.
- You accept these risks on behalf of your child and agree that participation is voluntary.
Duty of Care
- Vale Gymnastics maintains qualified coaching staff, safety-certified equipment, and appropriate supervision at all times.
- All sessions are run in line with Welsh Gymnastics’ Health & Safety Standards and best practice guidelines.
- Despite these precautions, the Club cannot eliminate all risk of injury.
Parental Responsibility
- You confirm your child is physically fit to participate and that you have disclosed all relevant medical conditions on registration.
- You agree to notify the Club immediately of any change to your child’s health that may affect safe participation.
Waiver and Release
- To the fullest extent permitted by law, you agree that Vale Gymnastics Ltd, its coaches, staff, and volunteers shall not be held liable for accidental injury or loss sustained during participation, except where caused by proven negligence.
- You understand this waiver applies to all activities organised by Vale Gymnastics, including classes, events, displays, and competitions.
Emergency Medical Care
- In the event of injury or illness, you authorise qualified staff to provide first aid and, if necessary, to contact emergency medical services.
- You agree that any costs not covered by the Club’s insurance remain your responsibility.
12. Changes to Terms
- The Club reserves the right to update these Terms and Conditions.
- Any significant changes will be communicated to all members via email and posted on our website.
13. Agreement
By ticking the acceptance box during registration, you confirm that:
- You have read, understood, and agree to these Terms and Conditions.
- You consent to your child participating in gymnastics activities at Vale Gymnastics.
- You confirm that your child is medically fit to take part in physical activity.
- You understand and accept that gymnastics is a physical sport and that while Vale Gymnastics takes every reasonable step to ensure safety, injuries can occur.
- You consent to my child’s participation and release Vale Gymnastics from liability for accidental injury except in cases of proven negligence.”
